STEP 02

DEFINE THE 5 QUESTIONS

Every business gets the same 5 questions over and over. Pricing, availability, process, timeline, contact. Write out your ideal answer to each one. That's 80% of your chatbot done.

Your chatbot only needs to handle 5-10 scenarios to be useful

STEP 03

WRITE THE SYSTEM PROMPT

This is your chatbot's personality and rules. Keep it under 500 words. Include: who you are, what you do, tone of voice, what to never say, and when to hand off to a human.

Tone: professional but warm. Never make up prices. Always offer to connect with a human.

STEP 04

ADD YOUR KNOWLEDGE BASE

Feed the chatbot your FAQ page, pricing doc, service descriptions, and past customer emails. This is its memory. The better the docs, the better the answers. Garbage in = garbage out.

Start with 5-10 docs. Add more as you see what the bot gets wrong.

STEP 05

BUILD THE FALLBACK

The chatbot WILL get questions it can't answer. Plan for it. Set up a graceful handoff: 'Let me connect you with Flo for that — he'll reply within 2 hours.' Never leave someone hanging.

STEP 06

TEST WITH REAL HUMANS

Give 5 friends the link. Tell them to try to break it. Ask stupid questions, edge cases, typos. Every failure is a prompt improvement. Test for 3 days before going live.

Track: accuracy, response time, handoff rate, user satisfaction

STEP 07

LAUNCH AND ITERATE

Put it live. Monitor the first 50 conversations. Fix what breaks. Most chatbots fail because people launch and forget. Spend 15 min/week reviewing conversations and improving the prompt.
